Privacy declaration

We respect your privacy and carefully handle the personal data we collect. We always act in accordance with the General Data Protection Regulation (AVG) and other laws and regulations relating to the processing of personal data.

In this statement we will explain which data is collected by us, what this data is used for and who can access this data. Furthermore, we will explain how we store your data, how long we keep your data and how we protect your data against abuse. It also describes what your rights are with regard to the personal data you provide us with.

This privacy statement applies to the processing of personal data that we collect through our websites, our customer service and third party platforms. If you have any questions about our privacy policy, please feel free to contact us. You can find our contact details at the end of this statement.

1. For what purposes do we use your data?

We collect and use personal data for various purposes. Which data we process and for what purpose is explained below.

1.1 Fulfilling your order.

For processing of your online order and the delivery thereof at the desired delivery address, we use the following information from you:

- Salutation, first and last name
With information we can address you correctly.

- Invoice and delivery address
We need this information for the preparation of your invoice and for the delivery of your order to the correct address.

- Phone number
In case of lack of clarity concerning your order or the delivery thereof, we use your telephone number to contact you. If we can not reach you by telephone, we will send you an e-mail.

- E-mail address
After placing your order you will receive a confirmation of your purchase by e-mail. You will also receive an e-mail with which you can track the delivery of your order.

- Payment method
Depending on the payment method you have chosen, you will be redirected from our secured environment to the secure payment site of our Payment Service Provider: Mollie B.V. Account numbers, credit card details and personal information that you enter on that websire are not disclosed to us. We only recieve feedback whether your payment has been successful or not.

- IP address
In a physical store, customers are recognized by their appearance. This is done online via the IP address. Based on your IP address we can show you appropriate content and offer you a pleasant shopping experience.

- Company name, legal form, Chamber of Commerce and VAT number (for business customers)
In addition to the above information, we also need your company name, legal form, Chamber of Commerce and VAT number for business orders. We use this information for the preparation of the invoice and, in some occasions, to verify your registration as a company in the Trade Register.

We sell part of our articles through external sales platforms. When you place an order through these sales platforms, the platform concerned will share your order and personal data with us. We only use this information to the extent that this is necessary in the context of the handling and execution of the order. External sales platforms may have their own privacy policies and conditions. We encourage you to read them before using these platforms.

1.2 Creating a personal account
You are offered the possibility of creating a personal online account. Creating an account is not mandatory, it is only meant for your convenience. In your account we store data from previous orders, returns, e-mail preferences and personal details. By logging in to your account, you can view this information and, with the exception of previous orders, adjust it if necessary. You can also easily place a new order without having to enter your details again every time you visit the website.
In addition to the 1.1. mentioned data, we store the following data in your account:

- Historic orders
This allows you to see what you have ordered from us in the past.

- Order number
With the order number we can find your order. You may need this number when you contact us.

- E-mail preferences
We send newsletters by e-mail. Your preference for whether or not to receive our newsletter can be changed in your account. You can always unsubscribe via the unsubscribe link in the newsletter itself.

- Password
You log in to your account with your e-mail address and a self-chosen password. This password is stored encrypted. We can not see what your password is.

1.3 Customer service
Our customer service will gladly help you with questions about your order. You can also contact us for information and advice about the products we sell. When a product is temporarily out of stock, you can indicate through our customer service that you want to be notified when the product is available again. We will inform you without obligation. We will resolve any complaints or problems as soon as possible for you. You can reach our customer service by e-mail, by telephone or by letter. To avoid having to tell your story more than once, we take notes and we can ask you for your order number, name, e-mail address, telephone number and other data that make it easier to handle your question or complaint.

1.4 Sending newsletters
We will keep you informed about new products, special offers and other promotions. You can sign up for our newsletter for this. We send general newsletters and personal newsletters by e-mail. The personal newsletters are compiled on the basis of your previous purchases. In this way we can send you information that may suit your personal wishes. We only send newsletters with your permission. If you prefer not to receive newsletters and offers, you can always unsubscribe. This can be done by clicking on the unsubscribe link at the bottom of the newsletter, via your account or by contacting our customer service.

1.5 Reviews and ratings
As a result of your purchase, we can send you an e-mail with a review request regarding our services or the products you have purchased.

We attach great importance to customer satisfaction. To improve our services we are interested in your opinion and we offer you the opportunity to assess us. Your assessment can also help other consumers to make a better assessment when they want to order a product from us. For a review of our services we refer you to independent review sites such as Google and Tripadvisor. The information you leave there will be shared with us, so that we can link the review to your order.

External review sites can have their own privacy policies and conditions. We encourage you to read them before using these sites. We can also ask you to write a review about the products you ordered. By sharing your experience with a product, you give us and other visitors a better picture of what they can expect from the product. Together with your assessment, your name, place of residence, gender and age group will be placed on our website.

We only send review requests when you have registered for our newsletter. If you prefer not to receive it anymore, you can always unsubscribe. You can do this by clicking on the unsubscribe link at the bottom of the e-mail, via your account or by contacting our customer service.

1.6 Improving our services
We are happy to offer you an optimal online shopping experience. To improve our websites, we collect data about how you use them. Think of viewing pages, zooming in on a product or clicking on links. We use cookies for this.

Some cookies are necessary for the proper functioning of the website, for example to put products in your shopping cart or to remember how far you are with an order.

In addition, we use cookies to analyze traffic on the website, so that we can measure and improve performance. We use Google Analytics for this. The data that Google Analytics collects are processed anonymously and are therefore not linked to your personal data. A processor agreement has been concluded with Google, the 'data sharing' option is turned off and the User ID function is not enabled. Furthermore, no use is made of other Google services in combination with the Google Analytics cookies.

1.7 Fraud prevention
We prefer to trust everyone, but unfortunately that is not always possible. Sometimes we have to use customer data to investigate, prevent and counter fraud.

2. What are the legal bases for the use of your data?

When you purchase a product from us, you enter into an agreement with us. We then need your data to execute your online order according to contract. In addition, we can use your data from a legitimate interest. We are pleased to offer our customers the best possible personal service. This applies to creating a personal account, contacting our customer service, sending newsletters and review requests and collecting data for analysis and marketing purposes. Of course we always respect your privacy. Sometimes you have given your permission to use your data, such as when you sign up for our newsletter. We may also have a legal obligation to use your data, for example when there is suspected fraud.

3. Who has access to your data?

We handle your personal data carefully. We only share your information with trusted third parties when this is necessary for our service. This concerns the following parties: delivery partners, payment partners and IT service providers. Only with your consent we will share information about your site usage with trusted third parties, such as media and advertising agencies, data management platforms and research agencies. This is to be able to offer customized content or targeted advertisements that are relevant to your interests. The parties who receive permission from us to process your data are all obliged to protect your privacy by virtue of an oath or legal obligation or on the basis of the processor agreement between them and us. We will never sell your details to third parties.

4. Where are your details stored?

Our websites and backups are hosted at Spango Internet B.V. Data that you leave on the website is securely stored on the Spango servers. When you contact us via the contact form on the website or via e-mail, these e-mails are also stored on the Spango servers. The Spango datacenter is located in Amsterdam and is classified as a Tier-3 data center. This stands for the highest possible classification in the area of safety and reliability. Newsletters are sent via the Mailchimp. Mailchimp is located outside the European Union. When you sign up for the newsletter, your e-mail address is stored securely in the appropriate list within Mailchimp. Mailchimp complies with the applicable rules on the General Data Protection Regulation of the European Union.

Second to the above, we also store your information in our company's accounting software (Sage-Eurowin). Your data is manually copied from the website to Eurowin. Our server is also protected from unauthorized access by firewall and from physical access by unauthorized persons. We make backups on a daily basis. We do not store Bank account details or Credit card details. Only names, addresses and historic order information. In the unlikely event you purchase an item by an 'Cardholder not present'  transaction, your details are never recorded on digital or other media. As you call out your details, they are entered into the Point of Sale unit provided by our bank.

5. How long will your data be stored?

We do not store and use your data for longer than is strictly necessary. After that, your data will be deleted or we use your data anonymously for internal analysis or reports.

Retention periods

- We must keep ordering, payment and billing information for 7 years from the tax authorities. After that, we only use anonymized data for internal reports.

- We keep customer accounts as long as you have an active account with us. We remove inactive client accounts without registration for our newsletter after 7 years. After that period, we only use your data anonymously for internal reports.

- We will keep your registration for our newsletter as long as you are registered. You can always unsubscribe via the link at the bottom of the newsletter, via your account or by contacting our customer service.

- Within Google Analystics, data retention for users and events is set at 14 months. After that period, the collected data is automatically removed from Google Analytics.

- We keep data that we use to prevent fraud as long as necessary.

6. How do we protect your personal data?

We attach great importance to the protection of your personal data and we take appropriate technical and organizational measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification of personal data. Think of encryption of data, password locking, access control to our locations and limitation of the group of employees who have access to the data. If you have the impression that your data is not secure or that there are indications of misuse of your data, please contact us.

7. Customers younger than 16 years old.

Our websites are intended for adults and do not intend to collect information about website visitors who are younger than 16 years without the consent of parents or guardians. However, we can not check whether a visitor is older than 16 years. We therefore encourage parents to be involved in the online activities of their children, in order to prevent data from young people under the age of 16 from being collected without parental consent. If you believe that we have collected personal information about web visitors under the age of 16 without that permission, please contact us. We will then delete this information.

8. What about your legal rights?

With regard to the personal data we process, you have certain rights as a data subject. You can read which rights these are and how you can appeal to them below.

- Right of inspection
You have the right at any time to view free of charge information that we (have) processed and that relate to your person or that can be traced back to you. You can contact us by telephone or e-mail.

- Right to rectification
If the data is not correct or your data has changed, you always have the right to have the data that we process or have processed and that relate to your person or that can be traced back to this. You can contact us by telephone or e-mail. If you have a personal account with us, you can largely do this yourself in your account. Unsubscribe from our newsletter can be done via the link at the bottom of the newsletter itself, via your account or by contacting us.

- Right to limit processing
You have the right at all times to limit the data that we process or have processed that relate to your person or that can be traced back to you. You can contact us by telephone or e-mail.

- Right to transfer
You always have the right to have data that we process or have processed that relate to your person or that can be traced back to another party. You can contact us by telephone or e-mail.

- Right to delete your data
Do you no longer want your data to be stored with us? In that case, you have the right at all times to have the data that we process or have processed that relate to your person or that can be traced back to this. You can contact us by telephone or e-mail.

- Right of objection
In such cases, you have the right to object to the processing of your personal data by or on behalf of us. If you object, we will immediately stop the data processing pending the settlement of your objection. If your objection is well-founded, we will permanently discontinue the processing of your data. - Right to submit a complaint

We reserve the right to change our privacy policy at any time by posting the updated version on this page. We encourage you to check our privacy statement regularly to stay informed. If the new privacy policy has consequences for the way we process already collected data relating to you, we will notify you by e-mail.
